Responsibilities
1. Establish and enforce organization-wide project management frameworks, methodologies, and governance standards. Oversee the full project lifecycle, ensuring on-time, in-scope, and on-budget delivery. Conduct regular project health checks and audits to identify risks and ensure PMO compliance.
2. Build and maintain a centralized portfolio dashboard providing real-time visibility into project status, milestones, and dependencies. Support project managers in developing comprehensive project plans (scope, resources, timeline, risks). Coordinate cross-functional project activities to ensure alignment across teams, departments, and key stakeholders.
3. Facilitate kick-off meetings, status reviews, steering committee meetings, and retrospectives. Track and manage project interdependencies to minimize conflicts and ensure smooth execution. Manage the project portfolio, prioritizing initiatives based on strategic value, resource availability, and business impact. Monitor resource utilization and provide recommendations on resource optimization and capacity planning.
4. Identify and escalate resource conflicts and bottlenecks in a timely manner. Develop risk management frameworks to proactively identify, assess, and mitigate project risks. Maintain a centralized risk and issue register, ensuring timely resolution and closure. Escalate critical risks and issues to relevant stakeholders with recommended mitigation strategies.
5. Deliver regular project status reports, executive dashboards, and portfolio summaries to support leadership decision-making. Ensure transparent and consistent communication across project teams and business units.
6. Document and distribute meeting minutes, action items, and key decisions in a timely manner. Develop PMO communication plans to keep all stakeholders informed and engaged. Continuously iterate on PMO processes, tools, and templates to enhance delivery efficiency and quality. Capture lessons learned from completed projects and embed best practices into management standards.
7. Drive adoption of project management tools (JIRA, MS Project, Smartsheet, etc.) across the organization. Benchmark against industry practices to continuously elevate PMO operations. Design and deliver project management training programs, workshops, and coaching sessions.
8. Build a project management community of practice to promote knowledge sharing and continuous learning. Mentor junior project managers to grow team capabilities. Partner with senior leadership to ensure the project portfolio aligns with the company's strategic goals. Support business case development and project prioritization decisions. Provide data-driven insights and recommendations to inform strategic decision-making.
Requirements
1. Bachelor's degree or above in Project Management, Business Administration, Information Technology, Engineering, or a related field.
2. 3+ years of experience in project management or PMO operations, with hands-on experience managing multiple concurrent cross-functional projects.
3. Proven experience in establishing or optimizing PMO frameworks, processes, and governance structures. Familiarity with both Waterfall and Agile methodologies; experience in a matrixed organization preferred.
4. Master's degree (MBA) and PMP certification preferred. Proficiency in project management tools such as MS Project, JIRA, Confluence, and Smartsheet.
5. Solid command of Waterfall, Agile, and hybrid project management methodologies. Experience with data analysis and visualization tools is a plus.
6. Strong organizational and multitasking abilities with keen attention to detail. Excellent communication and presentation skills; able to convey complex information clearly to both technical and non-technical audiences.
7. Strong analytical and problem-solving skills with a data-driven mindset. Proven ability to influence and collaborate with stakeholders at all levels; skilled in conflict resolution and negotiation.
8. Demonstrated leadership and team management capabilities. Experience in digital transformation, IT project management, or large-scale organizational change initiatives. Background in financial management, including budget tracking.
